Policy Statement:

The University of Kansas and all reporting units adhere to Higher Learning Commission requirements concerning minimum qualifications for individuals with instructional responsibilities (instructors of record). All full-time, part-time, concurrent, online, and residential instructors of record must adhere to the following minimum education and/or experience qualification requirements.

Minimum Qualifications Ascertained Using Credentials

The University uses credentials as the primary mechanism to ascertain minimal faculty qualifications.

The standard requirement is that instructors of record must hold a degree in a field relevant to courses taught, conferred by an accredited academic institution in the United States, or a college/ university of equivalent quality outside the United States.

  • Instructors of record for undergraduate courses must possess a conferred degree at least one level higher than the program courses taught (i.e., a master’s degree in a discipline or relevant field is required to teach courses assigned at the bachelor’s level). An instructor without a master’s degree or higher in a discipline or field relevant to their instructional area may be qualified to teach undergraduate courses by possessing a conferred master's degree in any discipline or field and a minimum of 18 graduate credit hours in a discipline or field relevant to their instruction area.
  • Instructors of record for graduate courses must possess a conferred terminal degree or professional degree as determined by the discipline and have a record of research, scholarship, or achievement appropriate for the graduate program.
  • In cases where a 500 or 600 level undergraduate course is simultaneously offered for graduate credit, the instructor of record shall meet the qualifications for instructing at the graduate level.

For information about appointing individuals to mentor graduate students and serve on exam committees at KU Lawrence and Edwards campuses, please refer to the Graduate Faculty Appointments policy.

For additional information regarding appointments and responsibilities of graduate faculty at the Medical Center campuses, please refer to the Graduate Studies section of the Academic Catalog and the KU Medical Center Policy on Requirements for Teaching in Required Components of the MD Program Curriculum.

Minimum Qualifications Ascertained Using Tested Experience

In rare cases, instructors may demonstrate their qualifications in lieu of the required academic credential, based upon tested experience criteria, and approved at KUL by the Vice Provost for Faculty Affairs and at KUMC by the Vice Chancellor for Academic and Student Affairs. Tested experience is experience, in breadth and depth, obtained outside the classroom, which is relevant to the courses the instructor teaches. Tested experience is typically not exclusively based on years of teaching experience.

  • Tested experience for instructors of record for undergraduate courses is a minimum of a bachelor’s degree and one of the following:
    • Their degree is in the discipline and they possess a minimum of five years of applied, relevant experience. The instructor of record must have equivalent certification or licensure in the field, where required; or
    • Their degree is in any discipline and they possess a minimum of ten years of applied, relevant experience. The instructor of record must have equivalent certification or licensure in the field, where required.
    • For foreign language proficiency courses. Their degree is in any discipline and they possess a minimum of 10 years of proficiency in the foreign language.
  • Tested experience for instructors of record for graduate courses is a minimum of a master’s degree in any discipline and a minimum of seven years of applied relevant experience. The instructor of record must have equivalent certification or licensure in the field, where required.
Exclusions or Special Circumstances:

Graduate student instructors (Graduate Teaching Assistants), each of whom works under the supervision of a qualified faculty member, are exempt from this policy. For the Lawrence and Edwards campuses, the Office of Graduate Studies determines the minimum qualifications for Graduate Teaching Assistants.

Any exception to the minimum qualifications requirement must be approved by the applicable school(s)/College Dean and Vice Provost for Faculty Affairs for Lawrence and Edwards campuses and the Vice Chancellor for Academic and Student Affairs for the Medical Center campuses prior to an employment offer being extended. When requesting to hire an instructor of record based on an exception to minimum qualifications, the individual must clearly demonstrate extraordinary experience or expertise in the field.

Other University policies may impose additional criteria for employment with the University. Instructors must also meet these criteria to be eligible.

Definitions:

Concurrent Credit Instructors: For the purposes of this policy, concurrent credit instructors are high school teachers who have been approved by the department to teach KU undergraduate courses to high school students during the school day. Concurrent credit instructors cannot qualify under the tested experience section of this policy, but may qualify via a plan approved by the College to meet the qualifications as an instructor of record.

Graduate Courses: Courses numbered 500-999 and offered for graduate credit.

Instructor of Record: The primary instructor listed within the Student Information System. The academic unit assigns the instructor of record via the Schedule of Classes for each semester.

Interdisciplinary Programs: For the purposes of this policy, interdisciplinary programs are programs that are integrated around a unifying theme or topic. Such programs are offered by the following units in the College: African & African American Studies, American Studies, Environmental Studies, Global & International Studies, Indigenous Studies, Leadership Studies, Jewish Studies, Museum Studies, Women, Gender & Sexuality Studies and the Dean’s Office. The unique nature of each program means that instructor preparation is varied. A master’s degree or terminal degree in any discipline with interdisciplinary experience or research related to the course being taught qualifies a person to serve as an instructor of record for undergraduate courses. A person with a terminal degree in any discipline with interdisciplinary experience or research related to the course being taught and that has a record of research, scholarship or achievement appropriate to the course being taught may serve as an instructor of record for an interdisciplinary program graduate course.

Professional Degree: If the terminal degree is not a doctoral degree, the alternative standard is a master's degree that is consistent with accepted national/international norms for that discipline (e.g., based on accreditation in that field).

Terminal Degree: The highest-level university degree that can be achieved and awarded in an academic discipline or professional field. In most fields this is a doctoral degree, though is some fields a terminal degree is at the master’s level.

Undergraduate Courses: Courses numbered 100-699 and offered for undergraduate credit.

UNIV Course Instructors: UNIV courses are undergraduate courses administered by Academic Success that are focused on student success, engaged student learning, or sponsored educational experiences. An instructor of record for UNIV courses may qualify by meeting one of three criteria: having a master’s degree in any field, having a bachelor’s degree in any field plus 18 graduate hours in any field, or through tested experience.
